Purpose

The purpose of the Ethics Reporting Policy at CYIS is to promote a culture of transparency, integrity, and accountability. This policy provides a clear framework for reporting unethical conduct, ensuring that all employees and stakeholders can report concerns without fear of retaliation.

Scope

This policy applies to all employees, contractors, and stakeholders of CYIS, including suppliers, partners, and customers. It covers a wide range of unethical conduct, including but not limited to fraud, corruption, harassment, discrimination, and violations of laws, regulations, or company policies.

Policy Statement

CYIS is committed to maintaining the highest standards of ethical conduct. We encourage anyone who observes or suspects unethical behavior to report it promptly. CYIS ensures that all reports will be treated with confidentiality and that no individual making a report in good faith will face retaliation or adverse employment consequences.

Reporting Channels

• Ethics Hotline:

CYIS provides an Ethics Hotline, available 24/7, for confidential and anonymous reporting of unethical conduct. The hotline is managed by an independent third party to ensure confidentiality and impartiality.

• Email:

Reports can be submitted via a dedicated email address: ethics@cyis.org. This channel is monitored by the Ethics Committee.

• Direct Reporting:

Employees are encouraged to report concerns directly to their supervisor, HR, or any member of the management team. If the concern involves a supervisor, it should be escalated to the next level of management or HR.

Investigation Process

• Receipt of Report:

All reports received will be acknowledged promptly.

• Confidential Investigation:

The Ethics Committee, or an appointed investigator, will conduct a confidential investigation into the reported concerns.

• Protection of Privacy:

Efforts will be made to protect the privacy of all individuals involved, consistent with the need to conduct an adequate review.

• Resolution and Feedback:

Upon conclusion of the investigation, appropriate actions will be taken to address the issue. Feedback will be provided to the reporting individual, if possible.

Protection Against Retaliation

CYIS strictly prohibits retaliation against anyone who, in good faith, reports suspected unethical behavior or participates in the investigation of a report. Any form of retaliation will be subject to disciplinary action, up to and including termination of employment.

Training and Awareness

CYIS will provide ongoing training and communication to ensure all employees and stakeholders are aware of the Ethics Reporting Policy, understand how to report concerns, and are informed about the importance of ethical conduct.

Review and Modification

This policy will be reviewed annually to ensure it remains effective and reflects best practices. Modifications will be made as necessary to improve the ethics reporting process and ensure the highest standard of ethical conduct across the organization.
